Getting fast IT support isn't just about having a responsive helpdesk - it's also about how you report issues. Here are seven practical tips that will help your team get faster resolutions and less downtime.

1. Describe What You See, Not What You Think Happened

Instead of "email is broken," try "I'm getting a 'connection failed' error when I open Outlook, and it started after the update this morning." The more specific you are, the faster your engineer can diagnose the issue.

A good IT helpdesk will ask clarifying questions, but giving context upfront saves a round trip.

2. Include a Screenshot

Error messages contain codes and details that are genuinely useful. A quick screenshot (Windows key + Shift + S) saves your engineer from guessing and gets you a fix faster.

3. Note When It Started

Did the problem begin after an update? After you connected to a different network? After a password change? Timing is one of the most useful pieces of information for troubleshooting.

4. Try the Obvious First

Restart your computer before logging a ticket. It genuinely fixes a surprising number of issues, and it means your engineer can skip the basics and dig into the real problem if it persists.

That said, if the same issue keeps coming back after restarts, flag that - it suggests something deeper that needs investigating.

5. Know Your Priority

Not every issue is urgent. Understanding the difference helps your IT team triage effectively:

  • Critical: You (or multiple people) can't work at all
  • High: A key system is degraded but you can partially work
  • Medium: Something's annoying but there's a workaround
  • Low: A nice-to-have or future request

At LeapIT, we resolve critical issues immediately and pick up standard requests within an hour.

6. Use the Right Channel

If your IT provider offers multiple contact methods - phone, email, portal - use the one that matches your urgency. Phone for "I can't work" situations. Email or portal for everything else. This ensures the right issues get immediate attention.

7. Keep Your Details Updated

Make sure your IT team knows your current setup: which laptop you use, what software you need, and where you normally work. This context means they can start fixing things immediately without having to ask basic questions first.

What Good IT Support Looks Like

If you're regularly waiting hours for a response, or your helpdesk can't fix issues first time, it might be time to look at your IT support setup. At LeapIT, our helpdesk answers in 11 seconds on average, and we resolve 85% of issues on the first call.

We support businesses across Birmingham, Solihull, and the wider West Midlands - from law firms to manufacturers.

Is Your Current IT Support Working For You?

If these tips feel like they're compensating for a slow provider, it might be worth comparing outsourced IT vs in-house support to see if there's a better model for your business.

Some fixes you can do yourself before raising a ticket, recalling an email in Outlook is a good example.
