What outsourced IT support actually means

Outsourced IT support means handing the day-to-day running of your technology, helpdesk, monitoring, security, Microsoft 365, hardware and strategy, to an external partner who runs it as if they were your own internal IT department. You keep ownership of your data and your decisions; we run the operation. In practice it looks like our managed IT support service , a named team, a phone number that actually gets answered, and a fixed monthly bill.

It's the right fit for two kinds of business. The first is the SME without an internal IT team, where issues currently land on the office manager or the most technical person in the room. The second is the business whose internal IT is stretched, usually one or two people trying to cover everything from password resets to cyber security and cloud strategy. In both cases, outsourcing gives you proper coverage without another head on the payroll.

The core benefit is predictability. A predictable monthly cost per user instead of a recruitment process, salary band and training budget. Immediate access to engineers across networking, security, M365 and Azure instead of waiting to hire one generalist. And no key-person risk when your one IT person decides to take a fortnight in Spain.

What's included

Everything an internal IT team would deliver, run by a team of specialists for a fixed monthly fee per user.

UK-based helpdesk

A dedicated team of engineers in the Midlands picking up the phone, not an offshore ticket queue. Most issues resolved on the first call.

24/7 proactive monitoring

We watch your servers, endpoints, backups and Microsoft 365 tenant around the clock, and fix the small stuff before you ever notice it.

Cyber security built in

Endpoint protection, MFA enforcement, patching, email filtering and security awareness training included as standard, not bolted on later.

Microsoft 365 management

Licensing, mailboxes, SharePoint, Teams, OneDrive and conditional access policies, owned and maintained by your outsourced IT team.

Strategic IT guidance

Quarterly reviews, a rolling technology roadmap and honest advice on what to invest in next, the role a good IT manager would play.

Outsourced vs in-house IT

An honest comparison. Outsourcing isn't right for everyone, but for most SMEs, the maths is hard to argue with.

Outsourced IT
In-house IT
Cost
Fixed monthly per-user fee. Predictable, with no recruitment, sick pay, holiday cover or training overhead.
Salary, NI, pension, training and tooling for every hire, typically £35k–£60k per engineer before overhead.
Coverage
A full team behind every ticket. Holiday and sickness are absorbed by the provider, not your business.
Whoever you hired is who you get. When they're off, nobody is fixing things.
Expertise breadth
Specialists across networking, security, M365, Azure, voice and hardware, pulled in as needed.
One or two generalists who can't realistically be experts in every layer of modern IT.
Scalability
Add or remove users monthly. The service flexes as headcount changes.
Scaling means hiring, slow, expensive and risky if growth doesn't land.
Best suited to
Most SMEs up to ~50 staff, and growing businesses that don't want to build an IT department from scratch.
Larger organisations where IT is core to the product, usually paired with an outsourced partner for specialist depth.

For most businesses under around 50 staff, fully outsourced IT is the right call. Above that, a co-managed model, an internal IT lead supported by an outsourced team, usually wins. We'll tell you straight which fits your situation.

FAQ

Outsourced IT Support, FAQs

The questions we get asked most often when businesses are weighing up outsourcing their IT.

Most UK SMEs spend between £45 and £85 per user per month for fully managed outsourced IT support, depending on what's included (cyber security, Microsoft 365 licences, on-site visits and so on). Compared to hiring even one in-house engineer at £40k–£55k plus overhead, outsourcing typically pays for itself somewhere around 15–20 users. We always quote a fixed per-user price after a free IT health check so you can compare like-for-like.

For most small businesses, yes. Below around 50 staff it's very hard to justify the salary, training and cover required for a competent in-house IT team. Outsourcing gives you a helpdesk, security, monitoring and strategic guidance for less than the cost of a single hire, and you scale up or down monthly rather than going through hiring and redundancy cycles.

Absolutely. Plenty of our clients have an internal IT manager or a small in-house team and use us as their extended bench, covering out-of-hours, holidays, projects, cyber security and specialist work like Azure migrations or M365 hardening. We agree clear boundaries up front so there's no overlap or confusion about who owns what.

Most transitions are completed in 2–3 weeks with zero downtime. We've done this hundreds of times. We document your environment, deploy our monitoring and security agents in parallel, take handover of credentials and tenant ownership, and only fully cut over once everything is verified. We'll also handle the awkward conversations with your outgoing provider if that helps.

Both. Around 85% of issues are resolved remotely within minutes, it's faster for everyone. For anything that genuinely needs hands on a machine (failed hardware, new office fit-out, server work, cabling), we send an engineer on site. We cover Birmingham, Solihull, Coventry, Worcester and the wider West Midlands as standard.
